DocNow AI Overlay – Privacy Policy

The DocNow AI Overlay is a Chrome extension built by AK Launch for clinicians at American Physiatry. It runs only on the DocNow note editor (ns.app.doctornow.io).

What it collects

• The clinical note being edited and, when dictation is used, the audio transcript.
• The signed-in provider's email address and DocNow identity token, used to verify the provider.
• Overlay preferences, stored locally in the browser.

How it is used

Note text and transcripts are sent to American Physiatry's clinical API (amphai.aklaunch.net) solely to generate draft note text, ICD-10 suggestions and clinical risk summaries for the provider. The API is operated by AK Launch under a Business Associate Agreement with American Physiatry and is hosted on encrypted infrastructure in AWS.

What it does not do

• It does not sell or share data with third parties.
• It does not track browsing on any other website.
• It does not use data for advertising or analytics.

Retention

Clinical data is retained by American Physiatry as part of the patient record under its own retention policies. Browser-side preferences can be cleared by removing the extension.
